1. Who we are

Code Mint builds custom software and industry AI solutions for Australian businesses, including clinical assistants, document intelligence, design-to-fabrication tools and voice AI. We are based in Australia and the Site is operated from Australia.

If you have any questions about this policy or how we handle your information, you can reach us through the contact form on the Site or on WhatsApp at +61 428 000 189.

2. What personal information we collect

We keep the information we collect to the minimum needed to respond to you and run the Site.

  • Contact details you give us. When you use the contact form we ask for your name, your email address and your message. If you choose the WhatsApp option, we receive whatever you send us through WhatsApp, including your WhatsApp phone number and profile name.
  • Business information. Anything you tell us about your organisation, project or requirements when you enquire, and information exchanged during any later discussions or engagement (for example, your role, company name and the systems you use).
  • Technical information. When you visit the Site, our hosting provider automatically receives your IP address, approximate location (country), browser and device type, the pages you request and the time of your visit. When you submit the contact form, the country derived from your IP address is recorded with your enquiry so we know which time zone to reply in.

We do not ask for, and ask that you do not send us, sensitive information (such as health information, racial or ethnic origin, political opinions, religious beliefs or biometric data) through the contact form or WhatsApp. If a project involves such information, we will agree on a secure way to handle it with you first.

You can browse the Site without telling us who you are. The Site has no user accounts and does not require you to register.

3. How we collect it

  • Directly from you, when you fill in the contact form, message us on WhatsApp, email or call us, or meet with us.
  • Automatically, through the ordinary operation of the Site and the infrastructure that serves it (see section 5).
  • From third parties, only where this is reasonable and lawful, for example when a colleague refers you to us or you connect with us on a professional network.

4. Why we collect, hold and use it

We collect and use your personal information to:

  • respond to your enquiry and talk with you about your project;
  • prepare proposals, quotes and agreements, and deliver services you ask for;
  • keep a record of our communications with you;
  • operate, secure and improve the Site, including detecting and blocking automated abuse;
  • comply with our legal obligations, and establish, exercise or defend legal claims.

We only use the details you give us in the contact form to reply to you. We do not add you to marketing lists or send you newsletters unless you have asked us to, and you can opt out of any marketing message at any time by replying or contacting us.

5. Cookies, bot protection and third-party services

The Site does not use advertising cookies, tracking pixels or third-party analytics. We do not build profiles of visitors or sell data to anyone. The Site does rely on a small number of services to work:

  • Cloudflare (hosting and content delivery). The Site is served through Cloudflare’s global network. Cloudflare processes connection data such as your IP address and request headers to deliver pages and protect the Site from attacks. See the Cloudflare Privacy Policy.
  • Cloudflare Turnstile (bot protection). The contact form uses Turnstile to tell people from bots without a CAPTCHA puzzle. Turnstile runs a short, privacy-preserving check in your browser and may set a cookie that is strictly necessary for that check. We send the result to Cloudflare for verification together with your IP address. Turnstile does not track you across other websites.
  • Resend (email delivery). Messages sent through the contact form are delivered to our mailbox by Resend. Resend processes the contents of your enquiry, including your name and email address, for the purpose of delivering it. See the Resend Privacy Policy.
  • Google Fonts. The Site loads its typefaces from Google Fonts. Your browser requests the font files from Google, which receives your IP address and browser details as part of that request. See the Google Privacy Policy.
  • WhatsApp. If you choose to message us on WhatsApp, the conversation takes place on WhatsApp’s platform and is governed by the WhatsApp Privacy Policy. Nothing is sent to WhatsApp until you open the app and send the message.

Your browser may remember a small amount of information for its own convenience (such as form autofill). We do not read or control this. You can clear it, or block cookies entirely, in your browser settings; the Site will still work, although the contact form’s bot check may need you to complete a short interactive challenge.

6. Who we share it with

We do not sell, rent or trade personal information. We share it only:

  • with the service providers listed in section 5, to the extent needed for them to provide their service to us;
  • with our email and productivity providers, which host the mailbox and tools we use to read and reply to enquiries;
  • with contractors, advisers or partners who help us deliver a project you have engaged us for, under confidentiality obligations;
  • where required or authorised by law, a court order or a regulator, or where necessary to protect our rights, safety or property.

7. Overseas disclosure

Some of the providers we rely on operate outside Australia. In particular, Cloudflare, Resend, Google and WhatsApp (Meta) store and process data on servers in the United States and in other countries where they maintain infrastructure. This means your personal information may be transferred to, and held in, those countries.

We choose providers that publish strong security and privacy commitments and that are bound by contractual terms covering the protection of personal data. Where we deliver client projects that require data to stay in Australia, we design the solution so that it does, and we agree this with you in writing.

8. How we store and protect it

Contact-form enquiries are not stored in a database on the Site. Each submission is sent straight to our mailbox and is then held in our email system. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure, including:

  • encrypting all traffic to and from the Site (HTTPS) and to our email providers;
  • restricting access to enquiry data to the people who need it to respond to you;
  • protecting our accounts with strong authentication;
  • keeping the Site’s software and dependencies up to date.

No transmission over the internet is completely secure, so we cannot guarantee the security of information you send to us. If you are concerned about sending something sensitive, contact us first and we will arrange a secure channel.

9. How long we keep it

We keep enquiries for as long as we need them to deal with your request and any follow-up discussion, and for a reasonable period afterwards so we have a record of our communications. Information relating to an engagement is kept for the life of the engagement and for as long as we are required to keep business records by Australian law (generally up to seven years). When personal information is no longer needed, we delete or de-identify it.

10. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete or misleading. You can also ask us to delete your enquiry. To make a request, contact us using the details in section 1. We will verify your identity, respond within a reasonable time (usually within 30 days) and will not charge you for making a request. If we refuse a request, we will tell you why in writing.

11. Questions and complaints

If you think we have handled your personal information in a way that breaches this policy or the Australian Privacy Principles, please contact us first so we can look into it. We take complaints seriously and will respond to you in writing. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.

12. Data we process for our clients

When we build or operate software and AI solutions for a client, we may handle personal information belonging to that client’s customers, patients or staff. In those cases we act on the client’s instructions, and the client’s own privacy policy governs how that information is collected and used. The handling of that data is set out in our agreement with the client, including where it is hosted, who can access it and how long it is retained. This policy covers only the information we collect through the Site and our own dealings with you.

13. Changes to this policy

We may update this policy from time to time, for example when we change how the Site works or the providers we use. The current version is always published on this page with the date it was last updated. Material changes will be flagged on the Site.
